Got a problem? Speak up about it! In this useful lesson, you will learn a simple 3-step process to complain about any issue you have! This lesson is essential for anyone living, travelling, or doing business in an English-speaking country. Whether your hotel room is dirty, your food is cold, or your internet is not working -- you need to know how to lodge a complaint! Watch this lesson so that you can stand up for yourself and get the service you deserve! Then take the quiz here: http://www.engvid.com/real-english-how-to-complain-about-a-problem/ TRANSCRIPT Hi. My name is Rebecca. Complaining is something that most people don't enjoy doing. But sometimes, it's necessary for us to get what we need or want or deserve. In this lesson, I'll show you an easy three-step process to complain effectively in English. Let's get started. Okay. So the three steps are: First, state the problem; second, express your feelings; and last, ask for action. Let's look at some examples of how this works. Let's say you have no hot water in your hotel room. So state the problem. You say, "We have no hot water in our hotel room. This is unacceptable. Please transfer me to another room." Okay? So, "I have no hot water. This is unacceptable. Please transfer me to another room." Right? State the problem; express your feelings; ask for action. It's very important to do this last part. Some people just do this part. They state the problem, or they grumble by stating -- they're expressing their feelings. But they don't tell people what they want them to do. So if you really want action, make sure you ask for what you ask for what you want someone to do to fix your problem, okay? Next, you're in a restaurant, and the food isn't to your satisfaction. So you say, "The food is cold. This is ridiculous. Please bring us some hot food." Okay? One, two, three. Next, "The Internet is down" -- "the Internet is down" means the Internet is not working, all right? "This is unacceptable. Please credit me for the lost hours." Okay? Another example, "You overcharged me for this item. This is wrong. Please give me a refund." Okay? So you see, by following this three-step process, it's a very easy way for you to complain about anything that you're having a problem with, okay? So remember, don't forget to ask for action, because without that, people may come up with a solution which you don't really like. And you want to make sure that people do what you want them to do, for example, give you a refund, or for example, not just fix your Internet, but give you a credit for the hours that you lost. So by you stating what you want, there's a much greater likelihood that the problem will be fixed in a way that makes you satisfied, okay? For example, let me tell you what happened to me the other day, a really bad experience. I went to the supermarket. I was really hungry. I had nothing at home to eat. And I bought a roast chicken. And that was going to be my dinner. So I took it home, spent a good amount of money for that chicken, prepared some other things to eat with the chicken. And finally, when I was about to sit down, I opened up the chicken, and what do I see? Somebody had actually eaten a part of the leg. One of the legs was eaten, and the bone was left there. I mean, can you imagine my shock? I was absolutely disgusted. I took action. I complained. So what did I do? I told them, "Someone has eaten my chicken! Somebody has eaten one of the legs and actually left the dirty bone there in the package! And you sold me this ridiculous chicken! So this is ridiculous. This is completely wrong. Please give me a refund immediately. Give me a replacement chicken. And in addition, I'm going to write to your management because this is a health hazard." So depending on what the situation is, you can decide how much you complain, what you ask for. I did, by the way, get a replacement chicken. I did get my money back in addition. And I'm planning to follow up with the management because it's really crazy, isn't it? So I hope you've learned from this, how to complain. I hope this never happens to you, no chicken situations or anything else. But sometimes things happen. So at least, you'll know how to handle it, all right? If you'd like to do a quiz to really master how you complain, please go to our website www.engvid.com. And you could also subscribe to my YouTube channel to learn many other things that you could do in English more effectively. All right? Thanks very much for watching. Bye, for now.

Watch more How to Write a Letter videos: http://www.howcast.com/videos/92204-How-to-Write-a-Letter-of-Complaint They say the pen is mightier than the sword, so if you’ve had a bad experience with a company, use your mightiest weapon to get satisfaction! Step 1: Go straight to the top Address your letter to the company’s CEO. His secretary will likely forward it to customer service with a personal note, sending your complaint to the top of the pile. In fact, research has found that this trick can triple your chances of a successful outcome. Step 2: Include back-up State the problem and include any back-up materials, such as a sales receipt or any previous correspondence. This will show that you are a serious person who will not be ignored until your complaint is resolved. Tip In addition to your address and phone number, include your email address for a speedy response. Step 3: Be specific State exactly what the company can do to keep you as a customer, whether it’s a refund, store credit, or a replacement. If all you do is complain, chances are all you’ll get back by way of apology is a form letter. Tip Include a reasonable date by which you expect to have a response--two weeks is fair. This will reduce the chances your complaint will land in someone’s to-do-whenever pile. Step 4: Talk up your loyalty If you’re a longtime customer, say so! (And even if you aren’t, it doesn’t hurt to fudge a bit.) Companies do not want to lose loyal customers. Tip Research shows that colorful words like 'appalled,' 'stunned,' or 'shocked,' get better results than quieter ones like 'upset.' Just don’t use more than three of these words, or you’ll end up sounding hostile. Step 5: Make a vague, veiled threat Hint--in a polite, friendly way--what will happen if they don’t make things up to you. For example, say, 'I am surprised that no one has complained yet about your customer service in the online reviews I’ve read' to imply is that you might just add a disgruntled account. Step 6: Keep it short Keep your letter short and to the point. Studies show that after about a page, or 200 words, people lose interest--and sympathy! Step 7: Spell check Don’t forget to spell check your letter. Misspellings make the reader perceive you as unintelligent, which may make them not take your complaint as seriously. Step 8: End on a positive note End by thanking the person 'in advance' for resolving the matter. Did You Know? Transportation services, like planes and trains, receive the most consumer complaints, according to a survey of professional online complaint services.

EXP: “How to file a complaint”. A simple guide to help you file a complaint in case you have a legitimate problem when buying an item or service. And with you today… PST: Professor KnowItAll… EXP :Ok, Professor KnowItAll, go ahead… PST: Thank you, thank you… Well, let me tell you. If you have a problem with a purchase, the first thing you should do is complain to all your friends on social media… EXP: No, not at all! I have the Consumer Action Handbook here, and it says the first thing you should do is inform the seller about the problem. Most complaints are actually resolved that way. And do it as soon as possible because some stores offer limited time for returns and refunds. If your problem is not resolved on the first try, ask to speak with a supervisor or manager. Sometimes it’s just a matter of knowing who to talk to in order to resolve the issue. PST: That’s what I was saying … So in other words, if you didn’t like the final score of the game you watched last night, you should complain immediately so you can get your money back… EXP : No! It doesn’t work that way… I think I’ll need to be more clear…Look, Professor, if, for example, you buy a television set, and you carefully take it home, then you unpack it and the screen is cracked, then you should make a complaint at the place where it was purchased. PST: And if I didn’t like the game that I watched on that television, can I return it? EXP: He’ll never understand… Back to the topic of how to file a complaint… PST: You should meet my friend Luis; he’s an expert at complaining! EXP : Professor…So if the complaint is not resolved after contacting the seller, you should begin a formal process by writing to the business in question, and express your complaint following these recommendations: One : Start by keeping a record of everything that’s happened. Two : Contact the seller or manufacturer. Explain the problem in detail, but be brief and to the point, and state whether you want a refund or an exchange, and how long you are willing to wait for a response. Don’t be threatening or rude. That won’t help you. Provide your name, address and your phone number so they can contact you. Three : If the problem does not get resolved there are various other options that you can consider, like contacting trade associations or national consumer organizations. Four : You can also contact local or state consumer protection offices, or the closest BBB . PST: Oh yes, of course, Big Bad Business EXP: No professor the BBB is the Better Business Bureau, which is a nonprofit organization that helps resolve consumer complaints. PST: Now everything is starting to become clear. If I have a complaint about a product that I’ve purchased, I should call to complain, and if it’s not resolved, I should write to the seller. And if it is still not resolved, I should contact the closest consumer protection agency … EXP: Very good, that’s right. And by the way, there are also small claims courts in case none of these options resolve the problem. EXP: Is it clear now, Professor? PST: Crystal clear. EXP: Professor, if you have any more questions, visit USA.gov. They will guide you to find contact information for businesses and manufacturers, and a sample letter of complaint. You can also download or request a free copy of the Consumer Action Handbook, for more tips. PST: OK, but I have one more question. EXP: Yes … about the Handbook or about how to file a complaint? PST: No, not that. I want to know if we’re done because I’m running a little late for the game… EXP: Yes Professor, but remember: for more information and to request your free Consumer Action Handbook, visit USA.gov or in Spanish at GobiernoUSA.gov.

Sooner or later you may need to write a letter of complaint especially if you have you ever felt disappointed or angry about something you bought. You want to tell the company about the gadget that didn't work or the lousy haircut that made you look silly. Perhaps you received a delivery consisting of the wrong items, or the items you received aren't working. You want your money back or a product exchange. So what do you say? Start with letter format. Be sure that you have a contact name of someone in the company. Failing that, address it to customer-service will You could even use is To Whom it may concern. Complaint letter opening Explain directly and clearly why you are writing the letter. Tell the reader you want, a refund, a reversal of charges, or a product exchange, then summarize the reason. Here are a few sample openings: Example: Please reverse an erroneous charge on my Visa Account # 1234-5678-9876. The is a $243 overcharge on my bill for my meal at your restaurant a week ago. Example: Recently, I ordered a keyboard, model xxxx from your online store. When I received the item, some of the keys did not work, so I am returning it to your company (free of charge) for either an exchange or a refund. You'll notice that these openings get right to the point. For most business correspondence you can use a simple three-part structure: Details - Next, describe in more detail your story in two parts. a) First, before you had any problems. Tell this story chronological order. Use dates, receipt numbers, and dollar amounts. Give the names of any people you dealt with.. b) The second part is when things went wrong. Example: I was in your store on April 15, two weeks I go and saw that your wireless keyboards were on sale. I was told that these keyboards were compatible with my Samson computer, so I decided to purchase one, and took it home to try it out. I paid $47 on my visa, and my receipt number is 123-456. But, when I got home, I found that the device did not work with my desktop computer. When I called Samson computers I was told that Bestclick keyboards are not compatible with them. Complaint letter close Wind down your letter stating again what you want. Give any additional instructions. Example: Please send the check of $243 to the above address. Or, I will be sending the product back to your address as part of your 30-day return policy. Thanks for your immediate co-operation in this matter. Claim letter tips Use a neutral detached tone - There's nothing worse than feeling you have to yell at the reader in your letter. Avoid blaming anyone - Just report what has happened and what you want. End on a positive note - Don't threaten legal action. Most vendors are eager to please, and want the customer experience to be positive so you buy again. Keep your claim letter to a page and keep your paragraphs short. If you are send a claim email, ensure your letter is no more than a screen full of type and take extra care to be concise. Check your spelling, grammar, punctuation and language.

This Video will provide valuable assistance and guidance to the life sciences manufacturers engaged in various aspects of product complaint investigations. An effective complaint handling system is an extremely important part of any quality system. Manufacturers should understand that any complaint received on a product shall be evaluated and, if necessary, thoroughly investigated and analyzed, and corrective action shall be taken. The results of this evaluation should lead to a conclusion regarding whether the complaint was valid, what the root cause of the complaint was, and what action is necessary to prevent further occurrences. Complaints cannot be ignored. They are an excellent indicator of problems with the use, design, and/or manufacture of a product. A single complaint that is thoroughly investigated may lead a company to take remedial or corrective action. It may also take an ongoing analysis of numerous complaints before a trend is spotted that causes a company to initiate changes in their product, labeling, packaging or distribution. The regulatory expectations for both pharmaceuticals and medical devices will be emphasized as well as overview of best practices for timely and effective investigations. Everyone wants to get the most they can out of the things they buy. If you don't, then it's time to complain. The Consumer Federation of America lists the top things that consumers complain about. Some of those items include Utility Service, retailer sales for false advertisement, lending companies, health products and auto and auto repairs, which consumers say extends from faulty repairs and false advertising. With the internet and social media getting stronger everyday, consumers have more avenues to express their complaints. Angela Thompson bought her husband a tool set from from Sears, but was charged for the set twice. She called the company and received no response. She then took her complaint to the Sears facebook page, where she expressed her complaint and she wrote an email and a letter to the CEO. A few days later she received a call and was immediately given a refund. "Don't be afraid to complain, companies want to hear from you." said Marketing Professor Cait Lamberton. In order to complain effectively, you have to follow a few steps, which include but are not limited to the following: •Be prepared, by having receipts, paperwork and account numbers on hand. •Be specific about what you want from the company and who you want to speak too. •Remain Loyal - Let them know that you are a repeated customer, this will make them want to do their best to make sure you get what you need. •Be nice- Think rationally about what's going on, and try to understand that the situation that took place was not anything personal. If you don't know how to write a complaint letter or email, the Federal Trade Commission has a sample letter on their website.
